CANCELLATION & REFUND POLICY

At Just In Time Events, we understand that plans can change. This Cancellation & Refund Policy explains how cancellations, rescheduling requests, and refunds are handled for event services, rentals, and event website services.

1. GENERAL POLICY

When services are reserved, time, resources, scheduling availability, and planning efforts are committed specifically to your event.

For that reason, deposits and certain fees may be non-refundable as outlined below.

2. EVENT PLANNING & COORDINATION SERVICES

This section applies to services including:

- Event planning

- Event coordination

- Day-of coordination

- Timeline development

- Vendor communication

- Logistics support

- Consulting services

Deposits

All deposits are non-refundable unless otherwise stated in writing.

Client Cancellations

If a Client cancels an event:

- Any completed work remains billable.

- Deposits remain non-refundable.

- Custom planning services already performed remain billable.

Rescheduling

If an event is rescheduled, Just In Time Events will make reasonable efforts to accommodate the new date.

Availability for rescheduled events is not guaranteed.

Additional fees may apply if significant replanning is required.

3. EVENT WEBSITE & RSVP SERVICES

This section applies to:

- Event websites

- RSVP pages

- Registry pages

- Countdown pages

- Email reminders

- Guest communication systems

Completed Work

Completed design, setup, automation, and website development work is non-refundable.

Domain Registrations

Domain registration fees are non-refundable.

Third-Party Services

Fees paid to third-party providers are non-refundable, including but not limited to:

- Domain registrars

- Email providers

- Hosting providers

- Software subscriptions

- Payment processors

4. RENTAL EQUIPMENT

This section applies to rented or coordinated equipment including:

- Tables

- Chairs

- Projectors

- Screens

- Speakers

- Microphones

- Decor items

- Event support equipment

Cancellation More Than 30 Days Before Event

Client may receive a refund of amounts paid, less any non-refundable deposits and expenses already incurred.

Cancellation 14–30 Days Before Event

Up to 50% of rental fees may be refunded, less deposits and expenses already incurred.

Cancellation Less Than 14 Days Before Event

Rental fees are non-refundable.

5. WEATHER & FORCE MAJEURE

Just In Time Events is not responsible for cancellations, delays, or disruptions caused by circumstances beyond our reasonable control, including:

- Severe weather

- Natural disasters

- Venue closures

- Government restrictions

- Public emergencies

- Utility failures

- Transportation disruptions

- Acts of God

Refunds are not guaranteed under these circumstances.

However, we will make reasonable efforts to assist with rescheduling when possible.

6. NO-SHOWS

Failure to attend an event, meeting, consultation, or scheduled service without prior notice may be treated as a cancellation.

No refunds will be issued for no-shows.

7. REFUND PROCESSING

Approved refunds will be issued using the original payment method whenever possible.

Refund processing times may vary depending on the payment provider and financial institution.

8. EXCEPTIONS

Any exceptions to this policy must be approved in writing by Just In Time Events.
